  • Administration +

    • Compile and distribute management reports on a monthly basis
    • Collect and receipt of all levies
    • Follow up on levies in arrears
    • Compile and distribute on a monthly basis management reports
    • Keep full and proper books of account and records
    • Demand and recover all levies and other sums payable
    • Pay costs for expenditure chargeable to the body corporate
    • Pay salaries and wages and all statutory deductions
    • Pay all municipal accounts and other creditors or suppliers
    • Keep a list of trustees, owners and tenants
    • Make and sign applications for licenses, permissions and consents required
    • Retain the body corporate’s books of account and financial records for a period of 5 years
    • If money owing is not paid by an owner on time to arrange to send to the owner, the necessary statutory notices
  • Meetings +

    • Assist and advise the trustees and the owners on any applicable procedural matters
    • Arrange proxies, nominations and agendas for meetings
    • Arrange, attend, minute and distribute minutes of general meetings
    • Attend trustee meetings
    • Arrange, draft and distribute resolutions of trustees and owners
    • Provide notice of meetings of owners and trustees to registered bondholders and holders of future development rights
    • Forward to owners, notices and circulars on behalf of the trustees of the scheme
    • Comply with the Acts in respect of the update and retention of minute books, attendance registers, sectional plans, rules, insurance policies and all other permanent records of the body corporate
    • Chair trustee and general meetings
  • Financial Management +

    • Prepare and submit monthly financial reports
    • Provide monthly variance report to monthly financial reports with explanation and actions
    • Open and operate the necessary bank accounts
    • Prepare annual estimate of income and expenditure
    • Periodic review of the estimates of expenditure
    • Keep full records of the administration including proper books of accounting
    • Arrange annual audit
    • Submit audited statements to the members of the body corporate
  • Maintenance and Cleaning +

    • Assist the trustees with maintenance and cleaning of the common property
    • Arrange and submit requested quotes to trustees
    • Assist the trustees with liaison with service providers
    • Assist the trustees to inspect work done by service providers
    • Maintain the 10 year MR&R Plan
    • Project management of repair and replacement projects
  • Insurance +

    • Arrange the insurance of the building
    • Assist the trustees with the determination of the replacement values
    • Assist the trustees with quotations of insurance for replacement purposes
    • Manage insurance claims on behalf of the body corporate and owners
    • Assist trustees with the annual renewal of insurance policies
  • Legislative Duties +

    • Assist the body corporate to register with the Ombud
    • Assist the body corporate to comply with the Personal Information Act
    • Assist the body corporate to comply with the Promotion of Access to Information Act
    • Ensure compliance with the Sectional Titles Act, Ensure compliance with the Sectional Titles Schemes Management Act, Ensure compliance with Protection of Personal Information Act
  • Financial Year End +

    • Prepare an annual budget for the administrative and reserve funds
    • Prepare the annual financial statements for submission to the appointed auditor
    • Compile an annual report reviewing the affairs of the body corporate for the financial year
    • Prepare trustees annual report
